What is Access Control?
Access control is a system that oversees event entry, guiding attendee movement and ensuring tickets are used correctly. It regulates access to different areas, monitors entry and exit counts, and enforces ticket validity to keep the event secure and organized.
Why This Matters
Proper Access Control ensures:
✅ Guests can only enter areas they are authorized for
✅ VIP and restricted areas stay secure
✅ Entry limits (like no re-entry or limited re-entry) are enforced
✅ Scanning devices validate tickets correctly
✅ Reporting reflects accurate attendance data
Without Access Control properly configured, tickets may scan incorrectly, allow unintended access, or fail at entry points.
Setting this up correctly helps prevent onsite issues and keeps your event running smoothly.
Event Access Control: Simple vs. Advanced Setup
Having a clear access control system is essential, but how you set it up depends on the complexity of your event. There are two setup options designed to fit different needs.
Simple Setup: Default Access/Inherit Access
If your event is straightforward, with:
One main entrance
No VIP or restricted areas
Standard 1 entry per ticket
…you don’t need a custom setup.
Simply click Inherit Access, and the system automatically provides:
1 entry per ticket
1 exit per ticket
Standard scan validation
With this setup, nothing else is required—making it quick and easy for most events.
Advanced Setup: Custom Access Control (VIP, Staff, Restricted Areas)
For events with multiple access needs, custom access control is necessary. You’ll need this if your event includes:
VIP area
Backstage access
Staff-only sections
Tickets with unlimited re-entry
Advanced setup allows you to configure:
Areas – define where scanning occurs
Groups – categorize attendees (VIP, GA, Staff)
Entry limits – control how many times each group can enter or exit
Example:
GA tickets → GA area only
VIP tickets → GA + VIP areas
Staff → All areas
By choosing the right setup, you ensure your event runs securely while giving attendees the access they’re entitled to.
Important: Ticket Access Time
Every ticket can have a specific time period when it’s valid for entry.
To set or change this:
Under Access Time, choose from your existing schedules or create a custom time for when the ticket can be used.
This lets you control exactly when a ticket holder can enter your event. For example, you can restrict early entry for certain tickets or allow access only during specific hours, helping manage crowds and keep your event running smoothly.
What Happens If Access Is Not Set Correctly?
Incorrect access settings can cause issues like:
Guests being denied entry
Guests entering restricted areas
Scan limits not working correctly
To avoid problems, we strongly recommend:
Using Default Access for simple events
Using Custom Access only when special rules or areas are needed
